Get Your Grant On (GYGO)?Best Practices for Submitting Requests for Reimbursement (NC-5-003-12)

Course Description:
Training Opportunity to learn best practices for submitting requests for reimbursement (RFR) to the Preparedness Grants Management Branch (GMB). Hybrid Offering during EBO Training Week. Friday, May 17, 2024, from 10:00am – 12:00pm. The session will be recorded and posted on our NCEM Grants website for those who are unable to attend.
Intended Audience: Grantees receiving FY24 Grants (in Salesforce) as well as FY23 (in Legacy System) and earlier Grants.

Objectives/Topics:
1- Understand the entire grant cycle from perspective of subrecipient: application -> award -> EHP-> MOA/grant agreement -> requests for reimbursement -> required reporting -> closeout.

2- Outline the necessary steps to submit RFRs via Salesforce and the Legacy System for review by GMB without delays in approval for payment. ▪ Review of 5 Required Pre-Award Documents o Why are these requested from NCEM? o When are Grantees required to submit? o Where should Grantees send these documents? ▪ Demonstrate via Legacy System FY23 and older Grants RFR Processing o RFR required/necessary documents to submit to Grant Manager to assure smooth approval and reimbursement. o Approved RFR tracking via Legacy Process o Barriers to swift RFR processing. ▪ Demonstrate via Salesforce FY24 Grants RFR Processing o RFR required/necessary documents to submit to Grant Manager to assure smooth approval and reimbursement. o Approved RFR tracking via Salesforce o Barriers to swift RFR processing.

The presentation will be 1.30 hours, with the 30 minutes planned for Q&A to answer any/all subrecipient questions.

RECOMMENDATION to Participants: Have a copy of the “Sample RFR Packet” that will be sent to participants via email after registration in TERMS, to use as a reference during the course.
